    How ScanPad collects, uses, and protects your information when you use our mobile application.

    Core Privacy Principle: ScanPad utilises on-device processing where possible (such as text recognition and document scanning via ML Kit). Your documents and scans remain on your device unless you actively choose to sync them to the cloud or share them.

    1. Information We Collect

    a. Personal Information

    When you create an account or sign in using third-party services (e.g., Google Sign-In), we may collect the following information:

    • Email address
    • Name or profile name
    • Profile picture (if provided by your sign-in method)

    b. User Content and Files

    To provide our core document management features, we collect or process:

    • Documents and Scans: Images, PDFs, and text documents that you scan, import, or create within the App.
    • Extracted Text: Text extracted from your documents using OCR (Optical Character Recognition) technologies.

    c. Device Data and Permissions

    With your explicit permission, the App accesses the following device features:

    • Camera: Used strictly for scanning documents and capturing images.
    • Storage/Photos: Used to save your scans, export PDFs, and import existing documents from your device.

    d. Payment Information

    If you make in-app purchases or subscribe to premium features, payment transactions are processed securely through your respective app store (Google Play). We do not store or process complete credit card numbers. We use third-party services (RevenueCat) to manage purchase history and subscription status.

    2. How We Use Your Information

    We use the collected information for the following purposes:

    • To provide, operate, and maintain the ScanPad application.
    • To enable cloud synchronisation across your devices (if you are signed in).
    • To perform on-device document scanning, edge-detection, text recognition (OCR), and entity extraction.
    • To process transactions and manage your premium subscriptions.
    • To improve the App's performance and fix technical issues.
    • To communicate with you regarding updates, support, and security alerts.

    3. Third-Party Services

    ScanPad integrates with trusted third-party services to provide necessary functionality. These services have their own privacy policies:

    • Supabase: Used for secure cloud backend infrastructure, database, and optional cloud storage for your synchronised documents.
    • Google Cloud & ML Kit: Used for machine learning capabilities (OCR, document scanning, barcode scanning). Note: Document scanning and OCR models primarily run completely offline on your device after the initial model download.
    • Google Sign-In: Used for secure authentication.
    • RevenueCat: Used to manage in-app purchases and subscriptions cross-platform.

    4. Data Storage and Security

    We take the security of your data seriously. We implement industry-standard security measures to protect your information from unauthorised access, alteration, disclosure, or destruction. If you use cloud synchronisation, your documents are transmitted securely and stored in encrypted cloud environments provided by our backend infrastructure partners (Supabase).

    5. Your Rights and Choices

    Depending on your location, you have the right to:

    • Access: Request a copy of the personal data we hold about you.
    • Deletion: Request that we delete your account and associated cloud data.
    • Opt-Out: You can choose not to use cloud sync, keeping all your documents locally on your device.
    • Revoke Permissions:You can revoke Camera or Storage permissions at any time via your device settings, though this will limit the App's functionality.

    6. Children's Privacy

    We do not knowingly collect personal information from children. If we become aware that we have collected such data, we will take steps to delete it promptly.

    7. Changes to This Privacy Policy

    We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will notify you of any material changes by posting the new Privacy Policy within the App or via email.
